Exporting Services to South Africa From India: EDF, Invoicing and Payment Guide

South African clients buy plenty of Indian IT, BPO, design and consulting services, and paying you involves their bank as much as their finance team. Agree the invoice currency (USD or ZAR) at the outset, expect the client's bank to ask for your invoice and contract before it releases a foreign payment, and declare each invoice in your monthly EDF with "South Africa" in the Part 2B country column. From the invoice date, the full amount must arrive within 9 months.

Key takeaways

  • Decide the currency first. USD invoices are common; ZAR invoices expose you to rand volatility and conversion questions.
  • South African banks typically check documentation before paying foreign suppliers. Send a complete invoice and the signed agreement promptly.
  • India and South Africa have a double taxation avoidance agreement. If a client raises withholding, ask exactly which payments and offer a tax residency certificate.
  • One EDF per month, due within 30 days from the end of the invoice month, with each South African invoice as a row.
  • Realisation: 9 months from the invoice date (12 months for rupee invoices).

USD or ZAR: the currency decision

Factor Invoice in USD Invoice in ZAR
Your rupee receipt Tracks USD-INR, generally familiar Tracks ZAR-INR, which can swing more
Client's preference Some clients prefer to buy dollars themselves Many clients prefer paying in their own currency
Conversion steps Client's bank converts ZAR to USD Your bank or an intermediary converts ZAR
Risk of mismatch Low if client pays in USD Higher if a ZAR payment arrives converted to USD

Whichever you choose, put it in the contract and on every invoice, and make sure the payment is sent in that currency. If you invoice in ZAR and the money arrives in USD, your bank sees a different currency from the one declared on the EDF and you will need to explain it. Our guide to a client paying in a different currency than invoiced covers that scenario.

How South African clients pay

Most payments arrive as international bank transfers from the client's South African bank. South Africa has exchange control rules, and banks there generally apply checks before sending money abroad. In practice, that often means the client's bank wants to see your invoice and sometimes the underlying agreement, and it may ask the client to classify the payment.

What helps you get paid on time:

  • A complete invoice: legal names, addresses, invoice number, date, description of services and period, currency, amount and full bank details with SWIFT code.
  • The signed agreement or purchase order ready to send if the client's bank asks.
  • A clear service description. "Professional services" alone invites questions; "Payroll processing for 420 employees, October 2026" does not.
  • Patience on the first payment. First payments to a new foreign supplier often take longer while the client's bank completes its checks.

Payment providers and collection accounts are also used, but the Indian bank that credits your account remains your AD bank for the EDF.

Tax questions to expect

Withholding. South Africa applies withholding to certain cross-border payments; royalty-type payments are the usual example. Ordinary service fees may be treated differently. If a client says it must withhold, ask for the specific basis in writing and check with your CA. India and South Africa have a tax treaty, and a tax residency certificate is the typical evidence the client needs to apply treaty relief.

South African VAT. Some imported services may have VAT consequences for the South African customer. That is their compliance; do not add South African VAT to your invoice unless an adviser tells you to.

Your Indian tax. If tax is withheld, collect the withholding certificate. You may be able to claim credit in India, subject to the conditions your CA will explain.

Worked example: a BPO billing Johannesburg

Kaveri Contact Solutions Pvt Ltd, Mysuru, runs customer support for Highveld Insurance Brokers (Pty) Ltd in Johannesburg. The contract is in USD. In December 2026, Kaveri raises:

Sr. Recipient Country Invoice Currency Amount Description
1 Highveld Insurance Brokers (Pty) Ltd South Africa KCS/26/D-04 USD 13,200 Inbound customer support, 22 seats, Dec 2026
2 Highveld Insurance Brokers (Pty) Ltd South Africa KCS/26/D-05 USD 1,450 Overtime support, claims surge, 14–20 Dec

Kaveri's December EDF lists both invoices with SAC and purpose-code choices confirmed by its CA and bank, mode of delivery "Internet", mode of realisation "Others", and the master services agreement as the contract reference. The EDF is due by 30 January 2027.

Highveld's bank asks for the invoice and agreement before paying the first invoice, which arrives on 9 February 2027, about six weeks after invoicing. Well within the 9-month window. Invoice 1, at roughly ₹11 lakh, is above ₹10 lakh, so Kaveri gives its bank the invoice, FIRA and matching instructions. Invoice 2, around ₹1.2 lakh, can go on its next quarterly realisation declaration.

Part 2B and realisation details

  • Country column: South Africa, for every invoice to a South African recipient.
  • Third-party payments: if a group company in another country pays on behalf of the South African client, fill fields 1.15 and 1.16 and explain the relationship.
  • NRV: the amount you expect to receive. If withholding is certain and agreed before filing, discuss with your bank whether to reflect it.
  • Realisation: 9 months from each invoice date. If the client's bank documentation process delays a payment for months, ask your AD bank for an extension before the deadline, with emails showing the reason.

For small invoices up to ₹10 lakh, your bank may close EDPMS entries on a periodic declaration that the money has been realised. Our realisation declaration tool prepares one.

GST at home

Services to a South African client are generally an export of services when the Section 2(6) IGST Act conditions are met, making them zero-rated. Export under LUT and add "Supply meant for export under LUT without payment of IGST" to the invoice. The EDF is a FEMA declaration and does not change your GST or income-tax position.

Frequently asked questions

Should I invoice South African clients in USD or ZAR?

Either works if it is agreed in the contract and paid in the same currency. USD invoices avoid rand volatility; ZAR invoices are often easier for the client. What matters most is that the payment arrives in the invoiced currency.

Why is my South African client's payment taking so long?

South African banks generally apply exchange control checks to foreign payments and may ask for your invoice and agreement. First payments to a new supplier can take longer. Send complete documents promptly to speed things up.

Is there a DTAA between India and South Africa?

Yes, India and South Africa have a double taxation avoidance agreement. If a client wants to apply treaty relief on withholding, it will usually ask for your tax residency certificate. Check details with your CA.

What goes in the EDF country column for a South African client?

Write "South Africa" in the Part 2B country column for each invoice to that client. If all the month's invoices are for South African recipients, field 1.17 can also show South Africa.

Do I need a different EDF for each South African client?

No. One EDF per month can cover all service exports of that month to one or more recipients, in any countries. Each invoice is one row in Part 2B.

Bottom line

For South Africa, agree the currency, send complete documents with every invoice and give the client's bank what it needs. Then declare every invoice on time. Build your monthly declaration with the free EDF form generator.
