EDF for Bank of India: how to fill and submit it
Service exporters whose foreign receipts land in a Bank of India account submit their EDF to Bank of India, using the standard form in the Annex to the 2026 FEMA Regulations. Bank of India sets its own process for accepting the form, so before your first filing, get the AD code and the accepted channel from your branch, then follow the same steps each month: prepare, sign, submit, get an acknowledgement, and track payments against it.
Key takeaways
- Bank of India uses the same EDF as every AD bank. Only the submission channel and attachments may differ.
- Field 1.6 needs the AD code of the Bank of India branch handling your exports, not the IFSC.
- File within 30 days from the end of the month in which the invoices were raised.
- Keep the FIRA or payment advice for every receipt; it closes the loop.
- Individuals should check with the bank while RBI's promised FAQs are awaited; businesses should assume they must file.
Before the first filing: three questions for your branch
Walk in, call your relationship manager, or write to the branch. You want three answers.
1. Is my branch an AD branch, and what is the AD code? Not every branch of every bank processes foreign exchange transactions in the same way. Your account may be at one branch while exports are handled through another. Get the AD code of whichever branch is responsible, in writing.
2. How do you accept EDFs? Banks are required to publish their own policies on EDF acceptance. The answer could be physical submission, email, or an online channel. Do not rely on what a colleague's bank does.
3. What do you want attached? Some banks want only the signed EDF; others want invoice copies and a covering letter. Ask once and record the answer.
If your branch needs a written request for the AD code, use our AD code request letter on your letterhead.
Filling the form for Bank of India
Most of the EDF is about you and your invoices, not the bank. The Bank of India-specific entries are:
| Field | Entry for a Bank of India customer |
|---|---|
| 1.6 AD code | The code your Bank of India AD branch provided |
| 1.10 AD bank name & address | Bank of India, AD branch name and full address |
| Part 2B | Only the invoices paid (or to be paid) into your Bank of India account |
| Part 4 signatory | A person whose signature is on Bank of India's records for the account |
The rest follows the general rules. Services delivered online usually take "Internet" in 1.4. Mode of realisation in 1.12 is normally "Others" for direct transfers and advances. Fields relating to shipping bills, ports and LEO date are not applicable for services. Our Bank of India EDF form has the bank's name pre-filled.
Worked example
Sahyadri Engineering Services LLP in Kolhapur provides structural design drawings to a client in the UAE and another in Oman. Both pay into the LLP's Bank of India current account.
Suppose that in November 2026 the LLP raises:
| Invoice | Client | Country | Amount | Date |
|---|---|---|---|---|
| SES/EX/031 | Al Noor Contracting LLC | UAE | USD 4,800 | 10-11-2026 |
| SES/EX/032 | Al Noor Contracting LLC | UAE | USD 1,200 | 24-11-2026 |
| SES/EX/033 | Majan Build Co. | Oman | USD 3,500 | 28-11-2026 |
One EDF covers all three, with three rows in Part 2B and two countries. At a book rate of ₹84 per dollar, the total in field 1.22 is ₹7,98,000 (Rupees Seven Lakh Ninety-Eight Thousand only). The SAC code is the one the LLP uses on its GST invoices for engineering design; the remittance purpose code for this kind of work is commonly P1009 (architectural, engineering and other technical services), but the LLP confirms it with the bank.
The designated partner signs Part 4. The EDF goes to Bank of India by the channel the branch confirmed, on 4 December 2026, well before the 30 December 2026 deadline.
What to attach
Keep a standard monthly pack, then trim it to what your branch wants:
- Signed EDF.
- Covering letter: month, number of invoices, total value, contact person. Our EDF cover letter template is built for this.
- Copies of each invoice in Part 2B.
- FIRA or payment advice for any invoice already paid.
After you submit
Acknowledgement
Ask for one. A stamped copy, a reply email or a reference number all work. Record it in your EDF register.
EDPMS entry
Bank of India must enter the EDF into EDPMS within 5 working days. You do not usually see EDPMS directly, but if an inward payment later arrives and the bank says it cannot find the EDF, your acknowledgement is your evidence.
Payments and FIRA
When a client pays, request a FIRA or inward remittance advice that shows the amount, currency, remitter and purpose code. Check the purpose code fits your service. If it is wrong, ask the bank to correct it promptly with a purpose code correction letter.
Realisation deadline
Each invoice must be realised within 9 months of its date (12 months if invoiced in rupees). Invoice SES/EX/031, dated 10 November 2026, has a deadline of 10 August 2027. If a client is slipping, ask Bank of India for an extension with reasons before the deadline passes.
Closing small entries
For invoices up to ₹10 lakh, the bank may close the EDPMS entry on your declaration that the money has been realised, and that declaration can be given periodically. All three Sahyadri invoices qualify. Ask Bank of India whether it prefers quarterly declarations.
When things go wrong
- Payment held: banks may hold an inward credit until the EDF is filed. Check that the month's EDF went in and that KYC is current.
- Late EDF: the bank may accept a delayed EDF for reasonable cause. File as soon as you notice, with a short explanation.
- Wrong bank: if a client paid into a different bank, tell both banks in writing.
This is general information, not legal or tax advice. Bank of India's published EDF policy governs its process.
Frequently asked questions
Is the Bank of India EDF form different from other banks?
No. The EDF is the form prescribed in the Annex to the 2026 Regulations, and all AD banks use it. Bank of India decides how it accepts the form and what supporting documents it asks for.
How do I get the AD code from Bank of India?
Ask the branch that handles your export transactions. If it is not your home branch, your home branch can tell you which one it is. A written request usually gets a written answer you can keep on file.
Can I file one EDF for clients in different countries?
Yes. One EDF per month can cover all your service exports to one or more recipients. Each invoice is a separate row in Part 2B with its own country.
What happens if I file the EDF late with Bank of India?
The bank may accept a delayed EDF for reasonable cause. File as soon as possible and explain the delay briefly. Until it is filed, the bank may hold related inward payments.
Do I need to send invoice copies every month?
That depends on Bank of India's policy for your account. Some banks want only the signed EDF; others want supporting invoices. Ask your branch and follow its answer consistently.
Bottom line
For Bank of India, the form is standard and the process is branch-confirmed. Fill it with the Bank of India EDF generator and keep each month's acknowledgement and FIRA together.

Part 4 offers pairs of alternatives — I/We, buyer/third party, will be received/has been received, foreign exchange/Indian Rupees. Your answers in step 5 decide which words stay; we draw the line through the rest, exactly as you would with a pen.
The layout follows the structure of RBI's Annex (Parts 1–5, fields 1.1–1.22). If your bank hands you its own printed version, use theirs. This tool is a document generator, not legal or tax advice — you remain the declarant.
EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
