File your Federal Bank EDF in five steps

Most exporters finish in under five minutes. Next month it's faster — your business and bank details are already filled.

  1. Enter your business once

Name, address, PAN, GSTIN, IE code and exporter category. It's remembered on this device — or in your free account.

  2. Add your bank

Pick your AD bank and branch and enter the AD code (ask your branch if you don't have it).

  3. List the month's invoices

One row per invoice in Part 2B. One EDF can cover every client you billed that month.

  4. Answer the declaration

I/We, who pays, received or to be received, currency. We strike out the words that don't apply for you.

  5. Download and submit

Download the PDF or Word file, sign it and submit it to your bank within 30 days of month end.

EDF for Federal Bank: how to fill and submit it

If your foreign client payments land in a Federal Bank account, Federal Bank is normally your AD bank, and your monthly EDF for services goes to it. The EDF is due within 30 days from the end of the month in which you raised the invoices, and Federal Bank, like every AD bank, publishes its own policy on how it accepts the form. Your job is to get the AD code right, confirm the channel with your branch, and send a complete, signed form on time.

Key takeaways

  • Federal Bank is your AD bank for the EDF if it is where your export proceeds are credited.
  • Ask your home branch or relationship manager for the AD code before your first filing; it is not your IFSC.
  • Confirm the accepted channel (branch, email or a trade portal) directly with Federal Bank rather than relying on second-hand advice.
  • One EDF can cover every service invoice of the month, across all foreign clients.
  • Keep the bank's acknowledgement and follow up if you do not hear back.

Is Federal Bank your AD bank?

Under the FEMA (Export and Import of Goods and Services) Regulations, 2026, services exporters outside an SEZ submit the EDF to their AD bank, an Authorised Dealer Category-I bank. In practice that is the bank where the foreign money comes in.

So if your US or European clients pay into your Federal Bank current account, Federal Bank is the natural place for your EDF. If you also receive some payments at another bank, speak to both banks about which one should receive the EDF for which invoices. Software exporters have the additional option of filing with STPI, since AD banks and STPI are now both specified authorities. Units inside an SEZ file with the SEZ Development Commissioner instead.

Step-by-step: your first EDF with Federal Bank

Step What to do Tip
1 Ask your branch for the AD code linked to your account Request it in writing so you have it on file
2 Ask how Federal Bank accepts EDFs from services exporters Branch counter, email, or a net-banking trade option
3 Collect the month's invoices and client details One row per invoice in Part 2B
4 Prepare the EDF Use our Federal Bank EDF form to pre-fill bank details
5 Sign Part 4 and scan or print as the bank requires Strike out the alternatives that do not apply
6 Submit with a short covering letter List the month, invoice count and total value
7 Record the acknowledgement Note date, reference and who received it
8 Follow up after payment arrives Matching instructions or ₹10 lakh declaration

Getting the AD code from Federal Bank

The AD code identifies the bank branch that handles your export transactions. It goes into field 1.6 of the EDF. It is not your IFSC (used for domestic transfers) or the bank's SWIFT code (used for international wires).

Not every branch handles foreign exchange business directly, so your account branch may route export work through another designated branch. Ask your relationship manager which AD code applies to your account. If you prefer to put the request in writing, our AD code request letter gives you a clean format with the details the bank is likely to need.

What to send with the EDF

The EDF itself is the core document. Beyond that, ask Federal Bank what it wants attached, because practices differ between banks and can change. Exporters commonly keep the following ready:

  • Copies of the invoices listed in Part 2B.
  • A covering letter stating the month, number of invoices and total value. Our EDF cover letter is built for this.
  • Contracts or engagement letters, in case the bank asks for them on a new client.
  • For payments already received, the remittance reference or advice so the bank can match quickly.

Do not send documents the bank has not asked for just to be safe. A cluttered submission is harder to process than a clean one.

A worked example

Kayal Softworks Pvt Ltd, a Kochi-based software services company, banks with Federal Bank. In November 2026 it raised four invoices: two to a client in Melbourne (AUD 7,500 and AUD 4,200), one to a client in Denver (USD 5,600) and one to a client in Oslo (NOK 38,000).

Kayal's accountant prepares one EDF for November with four rows in Part 2B. Field 1.1 shows Software, 1.4 shows Internet, 1.6 shows the AD code the branch provided, and 1.12 shows Others because all four clients pay by direct transfer. Using the company's book rates, the rupee total in 1.22 comes to ₹14,87,920.

The EDF is due by 30 December 2026. Kayal submits it on 18 December through the channel its relationship manager confirmed, with a covering letter. The bank should then enter it into EDPMS within 5 working days. When the Melbourne client pays in February, Kayal includes those two invoices, each under ₹10 lakh, in its quarterly realisation declaration.

Getting your FIRA and closing the loop

Once a client pays, you need evidence of the inward remittance, usually a FIRA, FIRC or bank advice showing the amount, remitter and purpose code. Check that the purpose code fits your service, because the bank relies on it when matching the payment to your EDF entry.

For invoices up to ₹10 lakh, the bank may close the EDPMS entry on your declaration that the money has been realised. Above ₹10 lakh, it typically needs the invoice, payment evidence and your matching instructions. Our guide to getting a FIRA or FIRC from Federal Bank covers this step in detail.

Federal Bank publishes its own process for all of this, so check its trade services information or ask your branch for current requirements. Do not rely on anyone's claimed portal paths or timelines. This is general information, not legal or tax advice.

Frequently asked questions

Can I submit the EDF at any Federal Bank branch?

Not necessarily. Export transactions are linked to a specific AD code, which may belong to a designated branch rather than your local one. Ask your relationship manager where and how to submit so the form reaches the team that handles your account.

Does Federal Bank accept the EDF by email?

Each bank publishes its own policy on accepting EDFs, and the accepted channels can include email, a net-banking trade option or the branch counter. Confirm the current channel with Federal Bank directly before you send your first form.

What is the due date for my Federal Bank EDF?

The due date is set by the regulations, not by the bank: within 30 days from the end of the month in which the invoices were raised. For example, October 2026 invoices are due by 30 November 2026. Our EDF due date table lists every month.

What if I receive foreign payments in Federal Bank and another bank?

Speak to both banks. The EDF generally goes to the AD bank where the proceeds are realised, so you may need to split invoices between banks or agree on one bank for all export receipts going forward.

Do I need an IEC to file the EDF with Federal Bank?

The EDF has a field for the IE code, and many service exporters hold one to claim benefits. If you have an IEC, fill it in. If you do not, ask Federal Bank whether it needs one for your type of export.

Bottom line

Filing with Federal Bank comes down to three things: the correct AD code, the channel your branch confirms, and a complete EDF every month. Save time on the form itself with our free Federal Bank EDF form, which pre-fills the bank details for you.

Questions

EDF form FAQs

What is the EDF form?

The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).

When is the EDF due?

Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.

Can one EDF cover several clients?

Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.

Which parts does a service exporter fill?

Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.

Do individual freelancers have to file the EDF?

On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.

By when must I get paid?

Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.

What is the AD code and where do I get it?

The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.

Is my data uploaded anywhere?

No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.

Does the EDF change my GST or income tax?

No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
