How it works

File your City Union Bank EDF in five steps

Most exporters finish in under five minutes. Next month it's faster — your business and bank details are already filled.

  1. Enter your business once

Name, address, PAN, GSTIN, IE code and exporter category. It's remembered on this device — or in your free account.

  2. Add your bank

Pick your AD bank and branch and enter the AD code (ask your branch if you don't have it).

  3. List the month's invoices

One row per invoice in Part 2B. One EDF can cover every client you billed that month.

  4. Answer the declaration

I/We, who pays, received or to be received, currency. We strike out the words that don't apply for you.

  5. Download and submit

Download the PDF or Word file, sign it and submit it to your bank within 30 days of month end.

EDF for City Union Bank: how to fill and submit it

Exporters whose foreign receipts land in a City Union Bank account file their monthly EDF with City Union Bank. The form is the same EDF every bank uses under the FEMA (Export and Import of Goods and Services) Regulations, 2026; City Union Bank sets only the channel and paperwork habits, which it must publish under Regulation 19. So the job is simple: get three details from your branch once, then file every month within 30 days from the end of the invoice month.

Key takeaways

  • The AD bank is normally the bank where the foreign money is credited. If that is City Union Bank, file there.
  • Ask the branch for the AD code linked to your account and the channel it accepts EDFs through.
  • Software exporters can choose between City Union Bank and STPI. Everyone else outside an SEZ files with the bank.
  • One EDF per month covers all service invoices raised that month.
  • For invoices up to ₹10 lakh, the bank may close EDPMS entries on your periodic realisation declaration.

Who this guide is for

Plenty of small and family-run businesses bank with City Union Bank, and some of them now earn from overseas clients: design studios, engineering drawing firms, accounting back offices, software houses. If you are one of them and your clients pay into your City Union Bank current account, the bank is your Authorised Dealer Category-I bank for the EDF.

If your foreign receipts actually land in a different bank, file with that bank instead, even if your main account is with City Union Bank.

Your first month: a setup timeline

Spread these tasks over the month before your first due date rather than cramming them into the last week.

When Task Who does it
Day 1–3 Ask the branch for your AD code and whether the branch handles export transactions directly Owner or accountant
Day 1–3 Ask how City Union Bank wants EDFs submitted (branch, email, online) and in how many copies Owner or accountant
Day 4–10 List every foreign invoice raised in the month with client, country, currency, amount and SAC code Accountant
Day 10–15 Prepare the EDF and covering letter; get Part 4 signed by an authorised signatory Accountant, director or partner
Before day 30 of next month Submit through the agreed channel and keep proof of submission Accountant
About a week later Ask the branch to confirm the EDF was recorded in EDPMS Accountant

Under Regulation 18 the bank has 5 working days to enter your EDF into EDPMS, so the follow-up in the last row is a fair request. If the AD code is unclear, our explainer on getting an AD code for your branch shows what to ask for.

Filling the EDF

Nothing on the form changes because you bank with City Union Bank, except a few fields:

  • 1.6 AD code: as given by the branch.
  • 1.10 AD bank name and address: City Union Bank and the branch address handling your exports.
  • 1.12 Mode of realisation: usually "Others" for direct bank transfers and advances.
  • 1.4 Mode of delivery: "Internet" for work delivered online.

Part 2B lists each invoice on its own row. Use the free City Union Bank EDF form, which pre-fills the bank's name, and add your invoices and branch details.

A worked example

Kaveri Drafting Services, a partnership firm in Coimbatore, prepares engineering drawings for clients in Germany and the US. In January 2027 it raised three invoices:

Invoice Client Currency Amount INR value
KDS/2027/01 Rhein Fabrik GmbH EUR 7,400 ₹6,81,000
KDS/2027/02 Prairie Tooling LLC USD 5,200 ₹4,34,000
KDS/2027/03 Rhein Fabrik GmbH EUR 2,100 ₹1,93,000

The firm files one EDF with three rows and ₹13,08,000 in field 1.22. Because January has 31 days and February 2027 has 28, the due date is 2 March 2027, not 28 February. Its SAC code is likely in the engineering services group, and its purpose code is likely P1009 (architectural, engineering and other technical services), both to be confirmed with its CA and the bank.

All three invoices are under ₹10 lakh. When the payments arrive, the partners can give City Union Bank a quarterly declaration that the money has been realised. The free realisation declaration tool prepares it in the usual format.

Getting FIRAs from City Union Bank

Each foreign receipt needs a paper trail: a FIRA, FIRC or inward remittance advice showing the sender, currency, amount, rupee credit and purpose code. Banks differ on whether these are issued automatically or on request.

If you are not receiving them, send a written request for each credit or for a period. Our FIRC request letter covers either case. When the document arrives, check:

  • Your name exactly as on the account.
  • The sender's name, which should match your client or an expected platform.
  • The purpose code, which should match your service.
  • The foreign currency amount and the INR credit.

Above ₹10 lakh, these documents plus your invoice are what the bank needs to close the EDPMS entry.

Common snags and fixes

The branch has not handled a services EDF before. That is normal in the first months of the new rules. Ask politely whether the branch can check with the bank's trade or forex team, and give them the Annex form so you are both looking at the same document.

A payment is held. Since 1 October 2026, banks may hold an inward credit until they receive the EDF. Submit the EDF for that month, mention the held credit in your covering letter, and ask for release.

You raised a credit note. If a client was given a discount after you filed, the net amount realised will be lower. Tell the bank, so the EDPMS entry is closed at the right value.

The client is late. Services must be paid within 9 months from the invoice date (12 months for rupee invoices). Ask the bank for an extension, with reasons, before that date.

This is general information, not legal or tax advice. City Union Bank's published process and your branch's guidance take precedence.

Frequently asked questions

Do I file the EDF with City Union Bank or STPI?

If you export services other than software, outside an SEZ, file with City Union Bank as your AD bank. Software exporters may choose either the bank or STPI. SEZ units file with the SEZ Development Commissioner.

How do I find the AD code for my City Union Bank branch?

Ask the branch or your relationship manager, ideally in writing. The AD code identifies the branch for export transactions and is different from IFSC and SWIFT codes. You need it for field 1.6.

Can I submit the City Union Bank EDF by email?

Only if the bank accepts that channel for EDFs. Each bank publishes its own process under Regulation 19. Confirm with your branch before emailing a signed PDF.

What if I raise invoices in rupees to a foreign client?

You still file an EDF; the currency column in Part 2B shows INR. The realisation period for rupee-invoiced services is 12 months from the invoice date instead of 9.

Is there a fee for submitting the EDF?

We do not have verified information on City Union Bank's charges. Ask the branch for its schedule of charges on export documentation and inward remittances.

Bottom line

A City Union Bank EDF is the standard monthly form plus a short setup conversation with your branch about the AD code, channel and FIRAs. Do that once, then file on time every month. Start with the free City Union Bank EDF form and keep the EDF guide open for field-level help.

Questions

EDF form FAQs

What is the EDF form?

The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).

When is the EDF due?

Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.

Can one EDF cover several clients?

Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.

Which parts does a service exporter fill?

Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.

Do individual freelancers have to file the EDF?

On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.

By when must I get paid?

Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.

What is the AD code and where do I get it?

The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.

Is my data uploaded anywhere?

No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.

Does the EDF change my GST or income tax?

No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
