EDF for BNP Paribas (India): how to fill and submit it
Indian companies that bill European clients in euros and bank with BNP Paribas in India send their monthly Export Declaration Form to BNP Paribas, their AD bank. Each euro invoice becomes one row in Part 2B of the EDF, shown in its own currency, while field 1.22 carries the month's total in rupees. File within 30 days from the end of the invoice month, through the channel BNP Paribas confirms for your account.
Key takeaways
- BNP Paribas in India is your AD bank when your export proceeds are credited to your account there.
- Field 1.6 needs the AD code, not the IFSC (starting with BNPA) or the BIC/SWIFT code your European clients use.
- Fill Part 2B carefully: invoice number, currency, amount and net realisable value should match the invoice exactly.
- Choose one documented method for converting EUR to INR and apply it every month.
- Ask the bank how to handle short receipts caused by deductions or charges.
When BNP Paribas is your AD bank
BNP Paribas is a French bank that operates in India with a corporate focus. Its export clients tend to be companies with European links: Indian subsidiaries of European groups, global capability centres and service firms with clients across the eurozone.
The AD bank is normally the bank where your foreign money lands. If your European clients pay into your BNP Paribas account in India, the EDF goes there. If some clients pay into another bank, the invoices they settle should be tracked with that bank instead.
The AD code, not the BIC
European clients usually ask for your BIC (SWIFT) and account details, and Indian payments use an IFSC beginning with BNPA. Neither is the AD code. The AD code identifies the bank branch for export transactions and goes into field 1.6. Our glossary entry on the AD code sets out how it differs from the others.
Ask your relationship manager for it, and while you are talking, ask how BNP Paribas accepts EDFs. Every AD bank must publish its acceptance policy under Regulation 19, so the channel, the signature format and the attachments are the bank's call. We do not describe its systems or timelines here.
Filling a euro invoice row in Part 2B
Lumen Market Insights Pvt Ltd runs market research studies for consumer brands in France and Belgium. It banks with BNP Paribas in India. Here is how one of its February 2027 invoices appears in Part 2B.
| Part 2B column | Entry for invoice LMI-2702 |
|---|---|
| Sr. no. | 1 |
| Service recipient name and address | A fictional cosmetics company, with full registered address in Lyon |
| Country | France |
| Invoice no. | LMI-2702 |
| Invoice date | 9 February 2027 |
| Currency | EUR |
| Amount | 18,600 |
| Net realisable value | 18,600 (unless a commission or deduction is agreed in the contract) |
| Description of services | Consumer survey design, fieldwork analysis and report |
| SAC code | 998371 (market research), confirmed with the CA |
| Contract no. and date | MSA-FR-014 dated 2 May 2026 |
| Remarks | Wave 2 of 3 |
Lumen raised two more invoices that month: LMI-2705 for EUR 7,400 to a Belgian retailer and LMI-2709 for EUR 4,250 to a French beverage brand. All three go on one EDF, because one EDF per month can cover all service exports to one or more recipients. The deadline for February 2027 invoices is 30 March 2027.
Converting to rupees for field 1.22
Field 1.22 asks for the total value in INR, in figures and words. With euro invoices, that means picking a conversion method. Using an illustrative rate of ₹91 per EUR, Lumen's three invoices total EUR 30,250, or ₹27,52,750.
The regulations summarised here do not prescribe a single rate for this field. Many exporters use the same rate they apply for GST invoicing, which keeps the books consistent, but agree the method with your CA and ask the bank whether it has a preference. Whatever you choose, use it every month and note it in your EDF file.
Net realisable value and short receipts
The amount column is what you invoiced. The net realisable value (NRV) is what you expect to realise. For most invoices they are the same. They differ when the contract itself provides for something to be deducted, such as an agent's commission.
Short receipts are a different matter. If a client pays EUR 18,560 against an invoice of EUR 18,600 because charges were deducted along the way, the EDF you filed does not change, but the EDPMS entry will show a gap. Ask BNP Paribas how it wants such shortfalls handled for your account, and keep the remittance advice showing the deduction. Our EDF guide covers the other Part 2B columns in more detail.
After filing: matching and the 9-month window
BNP Paribas must enter the EDF into EDPMS within 5 working days. Invoice LMI-2702, at about ₹16.9 lakh, is above the ₹10 lakh threshold, so closing it needs the invoice, payment evidence and matching instructions. The two smaller invoices can be closed through a periodic realisation declaration.
Every invoice must be realised within 9 months of its date, so LMI-2702 must be paid in full by 9 November 2027. If a client is late, ask the bank for an extension with reasons before that date. For a month with large or unusual invoices, a short note to the bank helps; our EDF cover letter gives you a format.

Frequently asked questions
Can I show euro invoices in euros on the EDF?
Yes. Each Part 2B row shows the invoice in its own currency and amount. Only field 1.22 carries the total converted into rupees.
Is the BNP Paribas BIC the AD code?
No. The BIC (SWIFT) is used to route payments from abroad, and the IFSC is for domestic transfers. The AD code identifies the bank branch for export transactions; ask your RM for it.
What exchange rate should I use for field 1.22?
The facts we rely on do not fix a rate for this field. Choose a consistent, documented method, often the one you use for GST invoicing, and confirm it with your CA and bank.
My client's payment arrived slightly short. Do I amend the EDF?
The EDF records what you invoiced and expect to realise. A short receipt is dealt with when the bank closes the EDPMS entry, so ask BNP Paribas how it wants the difference treated and keep the evidence.
Do I need a separate EDF for French and Belgian clients?
No. One EDF a month can cover all your service exports to any number of recipients and countries. Each invoice is a separate row.
Bottom line
For BNP Paribas clients billing in euros, the EDF is mainly a careful Part 2B: right currency, right amounts, a consistent INR total. Settle the AD code and channel with your RM, then prepare each month's form with our free BNP Paribas EDF generator.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
