EDF for Union Bank of India: how to fill and submit it
If your foreign clients pay into a Union Bank of India account, Union Bank is your AD bank and your monthly Export Declaration Form goes to it. The form itself is the standard RBI EDF; the part you must confirm locally is which Union Bank branch handles your export transactions and how it wants the form submitted. Settle those two questions once and the monthly filing takes very little time.
Key takeaways
- Services exporters outside an SEZ file the EDF with the AD bank that receives their foreign money. For Union Bank customers, that is Union Bank of India.
- Ask your home branch whether it handles export transactions itself or works with another designated branch. Your AD code depends on the answer.
- Union Bank of India, like all AD banks, publishes its own EDF acceptance policy. Follow what the branch tells you rather than assuming.
- File within 30 days from the end of the month of the invoices. October 2026 invoices are due by 30 November 2026.
- Keep FIRA or bank advice for every receipt; you will need it to close entries and for GST.
The question most Union Bank customers should ask first
Large public sector banks often have extensive branch networks, and the branch where you opened your current account may or may not be the one that processes foreign exchange paperwork. We cannot tell you how Union Bank of India organises this for your city, and you should not rely on anyone who claims to know without checking.
So start with one plain question at your branch: "Which branch and AD code handle export transactions for my account, and how should I submit the monthly EDF for service exports?"
The answer gives you three things at once: the AD code for field 1.6, the branch name and address for field 1.10, and the submission channel. Ask for the reply in writing or on email so there is no confusion later. If you prefer a formal letter, adapt our AD code request letter.
Monthly routine with Union Bank of India
Here is a routine that works for most small and mid-sized exporters. Adjust it to what your branch confirms.
| Day of month | Task | Output |
|---|---|---|
| 1st–3rd | Close the previous month's export invoices in your books | Invoice list with numbers, dates, currencies |
| 4th–6th | Fill the EDF: Part 1 once, Part 2B one row per invoice | Draft EDF |
| 7th | Authorised signatory signs Part 4 | Signed EDF |
| 8th | Submit to Union Bank by the confirmed channel | Acknowledgement or reference |
| 15th | Check the EDF has been taken on record | Confirmation from branch |
| Quarter end | Give the ₹10 lakh realisation declaration if the bank accepts it | Closed EDPMS entries |
The bank must enter your EDF into EDPMS within 5 working days of receipt, so a check around the 15th gives it ample time.
Worked example
Godavari Engineering Services Pvt Ltd, Visakhapatnam, provides remote design and drafting to clients in the Middle East and Europe. Its foreign receipts land in a Union Bank of India current account.
Here is how its first month under the new rules could run. In October 2026 it raises:
| Row | Client | Country | Currency | Amount | SAC |
|---|---|---|---|---|---|
| 1 | Qasr Building Consultants LLC | UAE | USD | 6,800 | 998393 (confirm with CA) |
| 2 | Brenner Ingenieure GmbH | Germany | EUR | 5,250 | 998393 (confirm with CA) |
Its steps:
- In early October, it asks the home branch which branch handles its export paperwork, and gets the AD code and the submission route confirmed in writing.
- On 6 November, it fills the EDF using the Union Bank of India EDF form: type of export Services, mode of delivery Internet, mode of realisation Others, total value about ₹10,80,000 in field 1.22.
- A director signs Part 4, keeping "will be received" because neither client has paid yet, and enters the expected payment dates.
- It sends the EDF with both invoices and a short covering note on 7 November, well before the 30 November deadline.
- When the UAE client pays in December, Godavari asks the branch for the FIRA and checks the purpose code against its records.
For the purpose code, Godavari's activity looks like architectural, engineering and other technical services, which commonly maps to P1009. It should still confirm the code with the bank rather than assume.
Filling the form: Union Bank specifics
Only a handful of fields depend on the bank:
- 1.6 AD code: the code the branch gave you for export transactions.
- 1.10 AD bank name and address: "Union Bank of India" plus the branch exactly as confirmed.
- 1.19 AD for L/C or BG: usually not applicable for services paid by direct transfer.
Everything else, from type of export to Part 2B rows, is the same as for any bank. Our step-by-step EDF guide explains each field.
Attachments and paperwork
Confirm with the branch, but a typical set is:
- signed EDF;
- copies of the invoices listed in Part 2B;
- FIRA or bank advice for any invoice already paid;
- a covering letter (the EDF cover letter template works well);
- for a new client, the contract or engagement letter if asked.
Above ₹10 lakh per invoice, expect the bank to want invoice, payment evidence and matching instructions to close the entry. Up to ₹10 lakh, the bank may close it on your declaration of realisation, which you can give periodically.
When things go wrong
Payment held at the bank. If an incoming remittance is held because an EDF is missing, submit the EDF and request release in writing.
Wrong purpose code on a FIRA. Ask the branch to correct it; a formal request letter makes the trail clear.
EDF filed late. The AD bank may accept a delayed EDF for reasonable cause. Explain the reason plainly.
This guide is general information, not legal or tax advice, and it does not describe internal Union Bank of India procedures. The bank's own published process and your branch's instructions take priority.
Frequently asked questions
Can I submit my EDF at any Union Bank of India branch?
Do not assume so. Ask your home branch which branch and AD code handle export transactions for your account, and submit through the channel it names. Getting this right first avoids forms being returned.
What is the AD code for Union Bank of India?
There is no single code for the whole bank. The AD code identifies the branch handling your export transactions, so ask your branch for the code that applies to your account. It differs from the IFSC and SWIFT code.
Does Union Bank of India use a different EDF format?
No. The EDF is the form in the Annex to the RBI's 2026 export regulations and is the same at every bank. Only the bank name, branch, AD code and submission channel change.
How long does Union Bank of India have to process my EDF?
Under the regulations, the AD bank must enter the EDF into EDPMS within 5 working days. If you have not had confirmation after about a week, follow up with the branch.
Do I need a separate EDF for each foreign client?
No. One EDF per month can cover all your service exports to one or more recipients, with each invoice as a row in Part 2B.
Bottom line
For Union Bank of India customers, the key step is confirming the right branch and AD code; after that, the monthly EDF is routine. Generate your form with the free Union Bank of India EDF form and submit it well within the 30-day window.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
