EDF for State Bank of India: how to fill and submit it
If your foreign clients pay into a State Bank of India account, SBI is your AD bank and the EDF for those invoices goes to SBI. The form itself is the same for every bank; what differs is how SBI's branch or trade team wants to receive it, so your first job is to get the AD code and the accepted submission channel from your branch in writing. After that, it is a monthly routine.
Key takeaways
- The EDF format is fixed by the RBI Regulations; SBI uses the same Annex form as every other bank.
- Ask your SBI branch for the AD code of the branch that handles your export receipts. It is not your IFSC.
- Banks must publish their own policies on accepting EDFs. Confirm SBI's current channel with your branch or relationship manager.
- The EDF is due within 30 days from the end of the invoice month. November 2026 invoices are due by 30 December 2026.
- SBI must enter your EDF in EDPMS within 5 working days of receipt. Ask for an acknowledgement.
Step 1: Confirm which SBI branch is your AD branch
SBI has a very large branch network, and not every branch necessarily handles foreign exchange work for every customer in the same way. Your account may sit at one branch while export transactions are processed through another. Do not assume.
Ask your home branch two direct questions:
- "Which branch handles export receipts and EDFs for my account?"
- "What is the AD code of that branch?"
The AD code goes in field 1.6 of the EDF and identifies the branch for export transactions. If the answer takes time, send a written request. Our AD code request letter is a ready format you can print on your letterhead.
Step 2: Ask how SBI accepts the EDF
The Regulations require each bank to publish its own policy on how it accepts EDFs. That means the channel can be a branch counter, an email to a designated address, or a corporate or trade banking portal, depending on the bank and your account type. We will not guess SBI's portal menus or email IDs, because they change and differ by customer segment.
Instead, ask your branch or relationship manager:
- Can I submit at the branch, by email, or through internet banking?
- If email, which address, and do you need a signed scan or a digitally signed PDF?
- Do you want supporting invoices attached every month?
- Will I get an acknowledgement or reference number?
- Who do I contact if the EDF is not reflected in EDPMS?
Write the answers in your EDF register. You only need to ask once, unless SBI changes its process.
Step 3: Prepare the EDF
The fields are the same whichever bank you use. For an SBI customer, a few entries are SBI-specific:
| Field | What to enter |
|---|---|
| 1.6 AD code | The AD code your SBI branch confirmed |
| 1.10 AD bank name & address | State Bank of India, followed by the AD branch name and address |
| 1.12 Mode of realisation | Usually "Others" for direct transfers and advances; L/C or BG only if used |
| 1.4 Mode of delivery | "Internet" for services delivered online |
| Part 2B | One row per invoice raised in the month, paid into this SBI account |
| Part 4 | Signed by the authorised signatory whose signature SBI holds |
Our pre-filled SBI EDF form puts State Bank of India in the bank field so you only add your branch, AD code and invoices.
Step 4: Attach what SBI asks for
The EDF does not legally require attachments in every case, but banks commonly ask for supporting documents to verify the invoices. Keep these ready:
- Copies of the export invoices listed in Part 2B.
- A covering letter listing the month, number of invoices and total value. Our EDF cover letter is designed for this.
- Contract or SOW references, if SBI asks.
- FIRA or payment advice for any invoice already paid before filing.
Ask your branch which of these it wants routinely. Some banks want only the EDF, others want the full set.
Worked example: an SBI customer's first month
Dhruv Infotech, a partnership in Indore, receives USD payments from two US clients into its SBI current account. Before October 2026 it never filed anything for services.
On 2 November 2026, Dhruv's accountant calls the home branch, learns that export transactions are handled at a different SBI branch in the city, and gets that branch's AD code by email. The branch asks for the EDF as a signed PDF by email, with invoice copies attached.
Dhruv raised three invoices in October 2026 totalling USD 11,400. At a book rate of ₹84, field 1.22 shows ₹9,57,600. The partner signs Part 4, the accountant emails the EDF with a cover letter on 6 November, and asks for confirmation. The deadline was 30 November 2026, so there is plenty of margin.
Each invoice is under ₹10 lakh, so the accountant also asks whether SBI will close the EDPMS entries on a periodic realisation declaration rather than invoice-by-invoice matching. The answer goes into the register too.
Step 5: Follow up and close the loop
Submission is not the end. Make sure:
- SBI acknowledges the EDF. A reply email, stamp or reference number is enough.
- The entry reaches EDPMS. The bank has 5 working days to enter it. If you hear nothing after a reasonable time, ask.
- Payments are matched. When the client pays, the inward remittance is matched against the open EDF entry. Ask for a FIRA or remittance advice. See our guide on getting FIRA or FIRC from SBI.
- Realisation happens within 9 months of each invoice date (12 months for INR invoices). If a client is late, ask SBI for an extension before the deadline.
- Small invoices are closed. For invoices up to ₹10 lakh, the bank may close entries on your declaration that money has been received. Our realisation declaration tool prepares one.
If SBI holds a payment
Banks may hold an inward credit until the related EDF is submitted. If an SBI credit is on hold, check whether the EDF for that invoice month has been filed, whether the purpose code fits your service, and whether your KYC is current. Then write to the branch with the invoice number and EDF date.
This is general information, not legal or tax advice. SBI's own published process governs how it accepts EDFs.
Frequently asked questions
Does SBI have a different EDF format?
No. The EDF is the form in the Annex to the FEMA (Export and Import of Goods and Services) Regulations, 2026, and every AD bank uses it. SBI may have its own submission process and may ask for supporting documents.
Where do I find my SBI AD code?
Ask the branch that handles your export receipts, preferably in writing. It is different from your IFSC and SWIFT code. Once you have it, it stays the same unless your AD branch changes.
Can I submit the EDF to SBI by email?
That depends on SBI's current policy and your account type. Banks publish their own EDF acceptance policies, so ask your branch or relationship manager which channels they accept.
What if my clients pay into SBI and another bank?
File each invoice's EDF with the bank where that invoice is paid. Invoices paid into SBI go on an EDF to SBI; those paid elsewhere go to that bank.
How do I know SBI has entered my EDF?
Ask for an acknowledgement when you submit and, if needed, confirmation that it has been entered in EDPMS. Banks must enter EDFs within 5 working days of receipt.
Bottom line
For SBI customers, the form is standard; the channel is what you confirm with your branch. Start with the SBI EDF form generator, and keep the AD code and submission method in your register.

EDF form FAQs
What is the EDF form?
The Export Declaration Form (EDF) is the form in the Annex to RBI's Foreign Exchange Management (Export and Import of Goods and Services) Regulations, 2026. From 1 October 2026, exporters of services declare the full export value on it to their AD bank (or STPI for software, or the SEZ Development Commissioner for SEZ units).
When is the EDF due?
Within 30 days from the end of the month in which the invoice was raised. October 2026 invoices are due by 30 November 2026. For services other than software, you may instead submit on or before the date you receive payment.
Can one EDF cover several clients?
Yes. One EDF can cover all your service exports in a month to one or more recipients. Each invoice gets its own row in Part 2B.
Which parts does a service exporter fill?
Part 1 (general information), Part 2B (services table) and Part 4 (declaration). Part 2A is for goods and Part 3 is for post/courier exports, so service exporters usually leave them blank. Part 5 is for the bank.
Do individual freelancers have to file the EDF?
On 7 October 2026, RBI said individuals providing services abroad are not covered by the reporting requirement and that FAQs will follow. The Regulations' text hasn't changed yet, so check with your bank. Proprietorships, firms, LLPs and companies should assume they are covered.
By when must I get paid?
Within nine months of the invoice date for services, or twelve months if the invoice is in Indian rupees. Your AD bank can extend this on a reasoned request.
What is the AD code and where do I get it?
The AD code identifies the bank branch that handles your export transactions. It is not the IFSC or SWIFT code. Ask your branch or relationship manager — our AD code request letter makes it easy.
Is my data uploaded anywhere?
No. Without an account, everything stays in your browser. If you create a free account, your business details and saved EDFs are stored so you can reopen them on any device.
Does the EDF change my GST or income tax?
No. The EDF is a FEMA declaration to your bank. GST (LUT, zero-rated supply) and income tax rules apply separately.
